Introduction

This Privacy Notice explains how Deltaly collects, uses and protects personal information when you use our website, Chrome extension and membership services.

Deltaly has been designed using Privacy by Design principles. Wherever reasonably practicable, patient-identifiable clinical information is processed locally within the user’s browser and is not transmitted to Deltaly’s servers.

This Privacy Notice applies to:

  • visitors to deltaly.uk;
  • dental professionals using the Deltaly Chrome extension;
  • patients joining or managing memberships through Deltaly;
  • anyone who contacts Deltaly.

Who we are

Deltaly develops software for dental practices, including workflow enhancements, membership administration and payment services.

Who this Privacy Notice applies to

Depending on how you interact with Deltaly, we may process information about you as:

  • a website visitor;
  • a member of a dental team;
  • a patient using Deltaly Membership;
  • a representative of a dental practice;
  • a person contacting our support team.

Who is responsible for your information?

Different organisations are responsible for different aspects of your personal information.

Your dental practice

Your dental practice is responsible for the personal information it processes when providing your dental care, maintaining your dental records and providing your membership.

Please refer to your dental practice’s own Privacy Notice for further information.

Deltaly

Deltaly is responsible for operating the Deltaly platform, user accounts, authentication, platform security, subscription management, payment administration and related services.

For some services, Deltaly acts as a data processor on behalf of your dental practice. For other services, Deltaly acts as a data controller in its own right.

Stripe

Stripe securely processes payments and Direct Debit mandates.

Deltaly does not store your payment card or Direct Debit details.


Information we collect

Website visitors

When you visit deltaly.uk we may collect:

  • pages visited;
  • browser and device information;
  • approximate location;
  • information submitted through contact or registration forms;
  • cookies and similar technologies.

We use Google Analytics to help us understand how visitors use our website.

We also use Google reCAPTCHA to protect forms from spam and automated abuse.


Dental professionals

If you create a Deltaly account or use the Chrome extension, we may collect:

  • your name;
  • email address;
  • GDC number (where applicable);
  • Dentally identifiers;
  • practice identifiers;
  • authentication information;
  • subscription and licensing information;
  • activity relating to your use of Deltaly.

Most patient-identifiable clinical information accessed by the Chrome extension remains within your browser and is not transmitted to Deltaly.


Patients using Deltaly Membership

If you join or manage a membership through Deltaly, we may process:

  • your name;
  • email address;
  • membership information;
  • payment status;
  • subscription identifiers;
  • linked family memberships;
  • communications relating to your membership.

Payment card details and Direct Debit mandates are processed securely by Stripe and are not stored by Deltaly.


Information we do not collect

As part of the normal operation of the Chrome extension, Deltaly does not collect or store patient-identifiable clinical information from Dentally.

Patient names, addresses, dates of birth, clinical notes, treatment history, medical histories and similar information accessed by the extension are processed locally within your browser wherever reasonably practicable.

Deltaly does not maintain a copy of your dental practice’s patient records.


How we use your information

We use personal information to:

  • provide Deltaly services;
  • authenticate users;
  • administer subscriptions and memberships;
  • process payments;
  • provide customer support;
  • improve platform security;
  • prevent fraud and abuse;
  • comply with legal obligations.

Lawful bases

Depending on the processing activity, we rely upon one or more of the following lawful bases:

  • performance of a contract;
  • legitimate interests;
  • legal obligation;
  • consent where required.

Where Deltaly processes information on behalf of a dental practice, the practice is responsible for identifying the appropriate lawful basis for that processing.


Sharing information

We share information only where necessary.

This may include:

  • Stripe for payment processing;
  • Guru for website hosting and email;
  • Google (including Google Analytics and reCAPTCHA);
  • service providers supporting the operation of Deltaly;
  • regulators or public authorities where required by law.

We do not sell personal information.


International transfers

Some of our service providers may process information outside the United Kingdom.

Where this occurs, we take appropriate safeguards to protect personal information in accordance with UK data protection law.


Retention

We retain information only for as long as necessary for the purposes for which it was collected, including to meet legal, regulatory and contractual obligations.

Your rights

Depending on the circumstances, you may have the right to:

  • access your personal information;
  • request correction;
  • request erasure;
  • restrict processing;
  • object to processing;
  • request data portability;
  • withdraw consent where processing relies upon consent.

Requests relating to your dental records should normally be directed to your dental practice.

Requests relating to Deltaly accounts or platform services should be directed to Deltaly.

We may update this Privacy Notice from time to time.

The latest version will always be published at deltaly.uk.
